Your Role as a Business Operations Specialist / Senior Business Operations Specialist
Caliber Engineering Solutions is seeking a highly organized, detail-oriented, and driven Senior Business Operations Specialist to join our growing team. In this role, you will directly support the Director of Strategy and Innovation and serve as the operational backbone of our internal business functions, owning day-to-day execution across finance, invoicing, operations, marketing, and people functions that keep our team running at its best.
You will work closely with leadership, finance, and external partners to ensure our internal processes are efficient, our business obligations are met with consistency and accuracy, and Caliber continues to present itself with professionalism at every touchpoint.

Key Responsibilities
- Directly support the Director of Strategy and Innovation in driving business process improvements, operational efficiency, growth initiatives, and the practical application of technology and automation across the organization.
- Manage accounts payable, invoicing, and expense operations, including consolidating receipts in QuickBooks, tracking project payouts, managing employee reimbursements, and ensuring accurate and timely payment reporting to customers.
- Coordinate with external partners and clients as the operational point of contact for invoice workflows and account coordination for key customers.
- Drive employee engagement by planning monthly and quarterly company outings, coordinating celebrations, and continuously finding ways to strengthen culture and keep our team connected.
- Contribute to and help shape the company's marketing strategy by supporting brand positioning, marketing initiatives, and ensuring Caliber presents itself consistently and professionally across all touchpoints.
- Own and drive Caliber's marketing efforts and help shape the strategy. Including maintaining brand consistency, ensuring website and external-facing content aligns with company strategy, supporting sales with messaging and content, and leading the planning and execution of key industry events and company activations.
- Own the full HR lifecycle, including recruiting, onboarding and offboarding, employee records, contractor payroll approvals, and mileage reimbursements through Rippling to ensure smooth and accurate people operations every cycle.
- Manage office, administrative, and ad hoc business operations, including equipment provisioning, supply ordering, parking, certification correspondence, and the catch-all tasks that a lean, fast-moving team depends on.

- Communicates clearly and confidently across all levels of the organization, from coordinating with external partners to interfacing directly with senior leadership.
- Carries a genuine people-first mindset while also having an eye for brand consistency and marketing, finding meaning in supporting teammates, building culture, and ensuring Caliber presents itself professionally at every touchpoint.

Qualifications
- Bachelor's degree in Business, Finance, Accounting, Business Administration, or a related field. Degrees in areas such as Political Science, Communications, or other disciplines that develop strategic and analytical thinking are also welcomed.
- 2+ years of experience in business operations, finance, HR, or a related multi-functional role.
- Demonstrated ability to manage competing priorities across multiple workstreams with strong organizational, written, and verbal communication skills.
- Comfortable working in a tech-enabled environment, with hands-on experience using digital tools, AI applications, or data-driven workflows to improve efficiency and support business operations.
- MBA or advanced degree highly preferred.
Preferred Experience
- Experience working across multiple business functions simultaneously, including at least two of the following: finance and accounting, HR and people operations, invoicing and accounts payable, or office and administrative operations.
- Proficiency in or demonstrated ability to quickly ramp on key business systems, including Rippling, QuickBooks, and Microsoft 365. Experience with tools such as Airtable, Notion, or similar platforms is a strong plus.
- Experience building or maintaining dashboards, reports, or data visualizations that support business decision-making.
- Background in a fast-paced, startup, or growth-stage environment where roles are broad and ownership is high.
- Experience supporting or contributing to marketing, brand management, or external communications efforts.
- Prior experience in utilities, engineering, construction, or energy infrastructure sectors is a plus but not required.
Compensation
The anticipated total compensation range for this position is $85,000 – $140,000 annually which includes base salary and an estimated discretionary bonus. The title and final compensation will be determined based on the candidate's experience, education, and qualifications.
